Welcome to the September 2008 edition
of the a.k.a.® Newsletter

it's easier with a.k.a.®

After a long silence we welcome the return of the a.k.a.® newsletter - thanks in part to our new senior consultant for a.k.a.®, David Low.

We’ve had a busy time these last few months with much work going into a.k.a.® development. It’s been quite a challenge to keep building in new recordkeeping functionality to meet the needs of our existing clients and also to cater for different variations of these in the many jurisdictions in which we operate. We have endeavored to maintain the intuitive user interface and usability which we believe is the hallmark of a.k.a.® software. We hope you approve.

Conni, Eddy and the a.k.a.® team

Vital Records Management – in case of disaster

You can’t predict when an emergency may occur or what form it may take, but you can prepare your organisation by identifying and documenting your vital records. It cannot be overstated how important this is as a critical part of your Business Continuity Program.
We are particularly excited about functionality that extends the DIRKS analysis model in a.k.a.® to identify and document vital and high risk records.
    With a.k.a.® you can:

  • Identify Vital Records and associated Recordkeeping Requirements
  • Gather metadata associated with Vital Records
  • Link Vital Records to the Business Classification Scheme and Records Classes
  • Print Vital Records reports on owners, systems, media, format and many other metadata elements
  • Import existing Vital Records data from spreadsheets
  • Export Vital Records data in a range of formats including CSV and XML
  • Publish your Vital Records Register to an intranet or the web

  • For a hands-on demonstration come and see us on the a.k.a.® stand at the RMAA and ARMA conventions.

    Announcing a.k.a.® TRIM Integrator

Take full advantage of the editing power of a.k.a.® to build and maintain TRIM Classification Plans, TRIM Thesauri and TRIM Retention Schedules.
The a.k.a.® - TRIM Integrator enables regular updates from your a.k.a.® database without compromising the integrity of your live content. Developed by records management consultants, the a.k.a.® - TRIM Integrator adheres to archival principles enabling updating of term names and scope notes, retention class information and other relevant metadata. Terms and retention classes no longer in use are deactivated in TRIM but remain attached to existing records.

a.k.a.® ’s powerful editing tools for TRIM users include:
  • Fast data entry and term linking
  • Auto numbering of the classification plan
  • Integrity checking against TRIM business rules
  • An extensive range of reports and web outputs supporting collaborative development
  • Maintaining links to sources, stakeholders and recordkeeping requirements

  • The a.k.a.® TRIM Integrator alleviates the danger of changing live data in your TRIM database, and eliminates the need for manual updating in TRIM.
For a hands-on demonstration come and see us on the a.k.a.® stand at the RMAA convention.
a.k.a.® TRIM Integrator 2008 will be released end of September 2008.

Basic and advanced a.k.a.® training courses
We are running two training courses for a.k.a. ® users in late September and October 2008.

Basic Records Classification & Disposition Management using a.k.a.®
Advanced Functionality using a.k.a.® including Vital records Management

Training is available to all existing and new a.k.a.® users, and provides a wealth of information about how to use a.k.a.® to develop taxonomies, business classification schemes, file plans and keyword thesauri. The training is computer based with participants creating and modifying an a.k.a.® database and completing a series of challenging exercises.

As promised, the Advanced Functionality in a.k.a.® training course is now being offered to our established a.k.a.® users. The course addresses:
  • Importing data from a range of sources including CSV
  • Making bulk changes in a.k.a.®
  • Manipulating data using spreadsheets or MS Access
  • Importing and Exporting using XML

  • For more information on dates and venues go to http://www.a-k-a.com.au/training/.

    Welcome new a.k.a.® users!
Once again we are pleased to welcome many more new a.k.a.® clients to the fellowship. Not all of our new clients are completely new to us - several have used a.k.a.® in previous employment and find that they just can't live without their favourite records management tool when they change jobs.
